Student information system: features, portals, and keeping student data right

How schools and colleges manage every student record, from admission to alumni, and what to look for in a student management system.

Quick answer

A student information system (SIS), also called a student management system, is the central database of every student's record: personal and guardian details, class and section, attendance, timetable, marks and report cards, health notes, documents, and certificates. Teachers, office staff, students, and parents each access the parts relevant to them, usually through a web portal and mobile app.

  • The SIS is the foundation every other school module reads from.
  • A student portal gives students and parents self-service access to attendance, results, timetables, and notices.
  • Data accuracy depends on entering data once, at the source, with clear ownership.

What information does a student information system hold?

  • Admission details, date of birth, identity documents, and photos
  • Guardian contacts and authorised pickup persons
  • Class, section, roll number, house, and subject choices
  • Daily or period-wise attendance and leave history
  • Marks, grades, report cards, transcripts, and promotion decisions
  • Health records, allergies, and emergency contacts
  • Certificates issued, such as transfer, bonafide, and conduct certificates
  • Activities, clubs, council roles, and scholarships

Which student management system features matter most?

Single student profile
Every module (attendance, fees, exams, transport, library) links to the same record, so nothing is retyped.
Role-based access
A class teacher sees their class, the nurse sees health notes, accounts see fees, and parents see only their own child.
Change history
Every edit is logged with who made it and when, which protects the record and supports audits.
Certificates and documents
Transfer and bonafide certificates are generated from templates using data already in the record.
Bulk import and export
Moving data in from your old system and out for board or government returns should not need retyping.
Student and parent portal
Self-service access on web and mobile cuts the number of calls and visits to the office.

What is a student portal and what should it show?

A student portal is the student-facing window into the SIS and LMS. A good one answers the questions students and parents ask the office every day, without a phone call: What is today's timetable? Was my child marked present? What homework is due? What did I score? What fees are outstanding? What did the school announce this week?

Portals work best when they are mobile-first and send notifications, because parents rarely log in to check proactively. In Hudace SchoolOS, students and parents use the same data through the web portal and the iOS and Android apps.

How does a student tracking system help schools?

Student tracking here means following each learner's progress over time: attendance patterns, results across terms, and participation. When this sits in one record, teachers can spot a pattern early, for example a student whose attendance has dropped over three weeks, and act before it becomes a problem.

Nectar, the AI inside SchoolOS, surfaces items like repeated absences so they reach the right teacher, and can summarise a student's recent record before a parent meeting. The teacher decides what to do with it.

How do you keep student data accurate and protected?

  1. Name an owner for each field. For example, the admissions office owns personal details and class teachers own attendance.
  2. Validate at entry. Required fields, date checks, and duplicate warnings prevent most errors.
  3. Limit access by role. People should see only the data they need for their job.
  4. Review each term. Ask parents to confirm contact details through the portal at the start of every term.
  5. Follow your data protection law. Children's data is sensitive. In India the DPDP Act 2023 sets specific rules for processing children's personal data, and the UAE has its own federal data protection law. Keep consent, retention, and access requests documented.

Frequently asked questions

Is a student information system the same as a school ERP?

No. The SIS is the student record at the centre of a school ERP. The ERP adds fees, finance, HR, admissions, and operations around it.

What is student ERP?

Student ERP usually refers to the student-facing side of an institution's ERP: the portal or app where students check attendance, timetables, results, and fees.

Can parents and students use the same portal?

Yes. Most systems use one portal with different views, so a parent sees their own children and a student sees only their own record.

Can we import data from our current system?

Yes. SchoolOS supports bulk CSV import for students and staff, and the data is checked with your office team before go-live.

Does the SIS handle transfer certificates?

Yes. In SchoolOS transfer and migration certificates are generated from the student record, and bonafide and conduct certificates come from document templates.

Is a cloud SIS secure?

It should use role-based permissions, encrypted connections, backups, and an audit trail. Ask any vendor to confirm each of these in writing.
